    Your Role at Synergy

    We are seeking an Account Assistant who will work closely with our Account, Operations, and Events Managers to provide support to all levels of staff throughout the agency. As an eager and enthusiastic problem solver, you will help the agency run smoothly so that our team can continue to deliver outstanding service to our clients. You will need to multitask and demonstrate dedication to efficiency and accuracy.

     

    More Details on What You Will Do

    • Assume primary responsibility for answering and screening incoming phone calls
    • Accept deliveries to the office on a daily basis
    • Ensure that all bills are reconciled and recorded accurately in our financial management system
    • File all paid vendor invoices and out-of-pocket documentation in a timely and accurate manner
    • Manage liaison with property management and IT when issues arise
    • Ensure office and kitchen supplies are well stocked
    • Coordinate travel and accommodation arrangements for the agency
    • Support the events team as needed, and assist in the development of client program materials, including detailed on-site logistics forms, name tags, tent cards, attendee lists, evaluation forms, etc., as well as the fulfilment of printing, photocopying, binding, and shipping needs, as directed by staff
    • Compile, tabulate, calculate, and maintain reporting of meeting evaluation data
    • Maintain client, vendor and key opinion leader databases and develop excel spreadsheets for tracking meeting invitees and gathering information for meeting attendees
    • Help to facilitate the project closeout process on a regular basis
    • Support proposal and pitch development by assisting with production requirements and research as needed

    • You are a team player who is as excited about others’ achievements as you are about your own.
