Overview: The Administrative Assistant is an integral member of the Client Solutions team providing general office support and coordination. The Administrative Assistant will liaise with internal and external cross-functional partners across reception, office services and administration to ensure the highest services levels to our clients.



  • Schedule meetings/conference calls while coordinating participants from within Omnicom Health Group and key stakeholders
  • Manage travel coordination, bookings, and other associated expenses
  • Process expense reports for Client Solutions Team
  • Coordinate with the Finance team; track down invoices, job numbers, and track jobs as directed
  • Interact with various levels of Omnicom Health Group and Agency leadership, as well as external clients
  • Create documents for meetings and/or client presentations, under the direction of the Client Solutions team
  • Attend certain internal, or client, meetings and assist with taking notes and tracking action items
  • Manage lunch and equipment requests related to client/internal meetings
  • Secure room reservations, execute room setup and break down
  • Plan and/or coordinate client events and entertainment
  • Request/obtain building passes for team members
  • Manage and distribute team contact lists
  • Copy documents for distribution to team or client
  • Typing, faxing, filing (both hard-copy and on shared drives)
  • Send/receive mail and packages



  • Bachelor’s degree in advertising, marketing, communications or similar
  • Minimum of a year of experience within an administrative or project coordination role
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint and/or Keynote
  • Effective communication skills including verbal, written and presentation
  • Proven ability to work effectively both independently and in a team based environment
  • Demonstrated willingness to be flexible and adaptable to changing priorities
  • Comfortable managing multiple projects at once, while demonstrating excellent time management and organizational skills in a fast-paced deadline driven team environment
  • Great client/customer service skills
  • Strong attention to detail and problem solving skills
  • Interest and enthusiasm for the position, company and healthcare industry
