Overview: We are seeking someone who can manage schedules for 3 senior executives, and also be a partner to reception, office services and the other company administrative assistants. After 1-2 years in this position, there is a further career path for this individual in other groups within the organization, such as Project Management and Office Services.

 

Responsibilities:

  • Schedule meetings/conference calls; book conference rooms
  • Juggle calendars proactively
  • Manage travel coordination and bookings
  • Process expense reports
  • Manage food, conference rooms and equipment requests related to client/internal meetings
  • Plan and/or coordinate client events and entertainment
  • Request/obtain building passes for team members
  • Print and/or copy documents for team or client

Qualifications:

  • Bachelor’s degree
  • Minimum of 1-3 of experience within an administrative or project coordination role
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint and/or Keynote
  • Flawless communication skills including verbal and written
  • Team mentality
  • Willingness to be flexible and adaptable to changing priorities
  • Ability to think several days ahead for scheduling
  • Excellent time management and organizational skills in a fast-paced environment
  • Great client/customer service skills
  • Strong attention to detail and problem solving skills
